Using the Administrative Interface

The AXIS CloudSync Admin panel gives administrators full control over users, storage, policies, compliance settings, and reporting. This guide walks through the key sections of the admin interface and how to use them effectively.

Accessing the Admin Panel

The Admin panel is only accessible to users with Administrator or Sub-Administrator roles. To access it:

  1. 1Log in to the AXIS CloudSync web portal with your administrator credentials.
  2. 2Click the Admin tab in the top navigation bar.
  3. 3The Admin Dashboard will load, showing an overview of your organization's usage and activity.

Note

If you do not see the Admin tab, your account does not have administrator privileges. Contact your organization's primary administrator to request elevated access.

Admin Dashboard

The Admin Dashboard provides a real-time overview of your organization's AXIS CloudSync environment:

  • Storage Usage — Total storage used vs. your plan's quota, with a per-user breakdown.
  • Active Users — Number of users currently active and total registered users.
  • Recent Activity — A live feed of recent file operations, logins, and admin actions.
  • Alerts — Any security alerts, failed login attempts, or policy violations.
  • Quick Actions — Shortcuts to common tasks: Add User, Create Team Share, Generate Report.

Users Section

The Users section is where you manage all user accounts in your organization.

Team Shares Section

Create and manage shared folders for your organization from the Team Shares section.

  • Create Team Share — Set up a new shared folder and assign members with specific permissions.
  • Manage Members — Add or remove users from a Team Share, or change their permission level.
  • View Activity — See all file operations within a specific Team Share.
  • Archive / Delete — Archive a Team Share to make it read-only, or delete it permanently.

Policies & Settings

The Policies section controls security and compliance settings for your entire organization. Key policies include:

Important

Changes to Policies take effect immediately for all users. Review changes carefully before saving — settings like auto-erase and revision purging are irreversible once triggered.

Reports & Audit Logs

AXIS CloudSync maintains comprehensive audit logs for all user and admin activity. These logs are essential for HIPAA compliance audits and security investigations.

  • Activity Log — Every file operation (upload, download, share, delete) with user, timestamp, and IP address.
  • Login Log — All login attempts (successful and failed) with timestamps and IP addresses.
  • Admin Log — All administrative actions taken in the Admin panel.
  • Compliance Report — A formatted report suitable for HIPAA audits, covering the selected date range.

Storage Management

Monitor and manage storage usage across your organization from the Storage section of the Admin panel.

  • View total storage used vs. your plan quota.
  • See per-user storage consumption to identify heavy users.
  • Set per-user storage quotas to prevent any single user from consuming disproportionate storage.
  • Configure trash retention period (how long deleted files are kept before permanent deletion).
  • Configure version retention (how many versions of each file to keep).
