Working with Team Shares

Team Shares are shared folders that multiple users in your organization can access simultaneously. They are the primary way teams collaborate on files in AXIS CloudSync β€” with granular permissions, file locking, and full audit trails.

What Are Team Shares

A Team Share is a folder that is shared across multiple user accounts within your organization. Unlike a personal folder, changes made by any team member are immediately visible to all other members. Team Shares sync to the desktop client of every member who has access, making them ideal for shared project folders, department drives, and compliance document libraries.

  • All members see the same files in real time.
  • Administrators control who has access and what they can do.
  • Full version history and audit logs are maintained for every file.
  • File locking prevents conflicting edits when multiple users work on the same document.

Accessing Team Shares

In the Web Portal

  1. 1Log in to the web portal.
  2. 2Click the Shares tab in the top navigation.
  3. 3Click Team Shares in the left sidebar.
  4. 4Click the Team Share you want to open.

On the Desktop Client

Team Shares you have access to appear inside your AXIS CloudSync Folder on your computer. Open Windows Explorer or Finder and navigate to your AXIS CloudSync Folder β€” you will see each Team Share listed as a subfolder.

Tip

If a Team Share is not appearing on your desktop, check your Selective Sync settings. The share may be deselected for this device. Right-click the tray icon β†’ Settings β†’ Selective Sync to enable it.

Note

Permissions are set per user per Team Share by your organization's administrator. Contact your admin if you need a different permission level.

Adding Files to a Team Share

If you have Read/Write permission, you can add files to a Team Share in two ways:

Via the Web Portal

  1. 1Open the Team Share in the web portal.
  2. 2Click the Upload button or drag and drop files into the folder.
  3. 3Files will be immediately visible to all team members.

Via the Desktop Client

Simply copy or save files into the Team Share subfolder inside your AXIS CloudSync Folder. The desktop client will automatically sync the new files to all team members.

File Locking in Team Shares

When multiple users might edit the same file, use File Lock to prevent conflicts. A locked file can still be viewed and downloaded, but cannot be edited or overwritten by other users until the lock is released.

  1. 1Right-click the file in the web portal or desktop client.
  2. 2Select Lock File.
  3. 3The file will show a lock icon. Other users will see it as locked.
  4. 4When you are done editing, right-click the file and select Unlock File.

Activity Notifications

You can subscribe to notifications for a Team Share to be alerted when files are added, modified, or deleted.

  1. 1Open the Team Share in the web portal.
  2. 2Click the Settings or Notifications icon for the share.
  3. 3Choose your notification frequency: Immediate, Daily Digest, or Off.
  4. 4Click Save.

Admin: Creating Team Shares

Administrators create and manage Team Shares from the Admin panel.

  1. 1Log in to the web portal and click the Admin tab.
  2. 2Navigate to Team Shares in the left sidebar.
  3. 3Click Create Team Share.
  4. 4Enter a name and optional description for the share.
  5. 5Add members and assign permission levels for each user.
  6. 6Click Create. The Team Share will immediately appear in the AXIS CloudSync Folder of all added members.
